The Receptionist provides administrative and clerical support to all the functions of the WR Sacramento field office. WRS provides Resettlement, Integration and Immigration Legal Services to immigrants and refugees in the Sacramento area and creates community and belonging by integrating donors and volunteers into our work. The Receptionist will support refugees and immigrants by connecting them with our services and support our network of partners by providing them with information on how to come along to support the community.

  • Provides general administrative duties such as answering phones, voicemails, responding to emails
  • Facilitate basic in-person and telephone intake of new and returning participants for purposes of scheduling and relaying messages to program staff
  • Provide reception to current and potential participants, and other visitors to the office
  • Facilitate participant communication regarding case updates, requests for new services, and referrals to other programs/legal counsel
  • Open, distribute and process incoming mail and prepare outgoing mailings and take them to the post office
  • Input intake-related information into WR Sacramento database
  • Assist staff members in proposed projects
  • On occasion, assist in workshop events
  • Maintain a clean, organized, welcoming and informative environment in the office reception area
  • Assist with improvement of internal administrative systems
  • Maintain clear communication with WR Sacramento staff, participants, and external partners
  • Prepare case files for proper disposal
  • Data entry
  • Other duties as assigned by supervisor

      • High school diploma or equivalent required
      • Working knowledge of Microsoft Office 365 applications (Excel, Word, OneDrive)
      • Experience in data entry
      • Fluent in English, both spoken and written
      • Proficiency in one or more common immigrant languages highly desirable (Dari, Pashto, Farsi, Ukrainian, Russian, Spanish)

        • While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations

        • Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application information
        • The employee frequently is required to sit, reach with hands and arms, talk and hear

          • Great lengths of time working on computer, reading from computer screen, entering information, standing at copier or fax machine, and some time on the phone or in skype meetings may be required
